Donor Relations Manager

Reports to: Director of Finance

GENERAL SUMMARY:

The Donor Relations Manager works to proactively manage and improve all aspects of the donor experience. They will propose and implement appropriate communications to donors. They are also responsible for all aspects of donation processing including: receiving, batching, data entry, receipting and acknowledging all gifts; ensuring database integrity, accuracy, and utility by managing all facets of data entry and review; and proposing and creating systems that improve the donor experience and increase efficiency. The ideal candidate will have a strong donor and customer service background with the technical capacity to implement industry best-practices in donor relations, data management, and constituent relationship building.

 

ESSENTIAL TO THE POSITION

Must have received Jesus Christ as his/her personal Savior and be in full agreement with the Bible Study Fellowship Statement of Faith, Human Sexuality Policy, Core Values and Cultural Commitments.  In order to accomplish their work properly the Donor Relations Manager must be very well organized and have excellent interpersonal skills. Under the direction of the Director of Finance, the Donor Relations Manager will work with the entire BSF leadership team to assess, coordinate, administer, and improve all donor-related interactions in support of the overall mission of the ministry.

PRINCIPAL DUTIES & RESPONSIBILITIES   

  • Develop and communicate regular and special correspondence to specific donors or donor groups communicating appreciation, ministry results, and impact. 
  • Work with Marcom Division to communicate appropriate ministry results and impact through website, social media, and annual Impact Statements.
  • Work with contract legacy giving partners to refer and follow up with donors needing special giving services.
  • Process daily gifts and donor correspondence and batch gifts by appropriate fund categories noting any special acknowledgement requirements. 
  • Process check donations by entry into the donor database and issue appropriate receipts or acknowledgements to donors.
  • Receives, assesses and timely responds to all issues for and inquiries from current and prospective donors.
  • Maintain required information on all pending or deferred gifts from individuals, estates, trusts, or donor advised funds for purposes of clearing when received.
  • Maintain log of all stock gifts received, enter data into the donor database, and issue receipt letters to donors.
  • Perform interim and annual reconciliations between the donor database gift total records and the ERP system accounting records. 
  • Responsible for compliance with and updating of the Donor Care Plan under the supervision of the Director of Finance. 
  • Other such duties as assigned by the Director of Finance related to the management and oversight of donors for the ministry.
  • Work with the finance team to identify new payment processors and implement a new donor database system.
  • Assist with the evaluation of where donations come from geographically, and where changes in the world are putting donations at risk; implement process improvements to make it easier to give to BSF.

  • Thoroughness: Must ensure that one’s own and other’s work and information are complete and accurate to maintain a highly reliable donor database.  Sets up procedures to ensure a high quality of donor data entry. Verifies information by carefully reviewing and checking the accuracy of donor information in reports.
  • Diagnostic Information Gathering: Must be able to identify the information needed to clarify complete donor information for proper handling, seek that information from appropriate sources, and use skillful questioning to obtain the information. 
  • Customer Orientation:  Demonstrates concern for satisfying one’s external donors.  Quickly and effectively solves donor problems.  Talks to donors to resolve their inquiries.  Finds ways to measure and track donor satisfaction. Presents a cheerful, positive attitude with donors.
  • Persuasive Communication: The ability to plan and deliver primarily written communications that make an impact and persuade their intended recipients and audiences.  Selects stories, analogies or examples to communicate ministry results and impact.

SKILLS, QUALIFICATIONS AND EXPERIENCE

Skills: Donor relations management experience of at least 5 years required. 

Qualifications & Experience: Knowledge of nonprofits and/or religious ministries preferred. 

Spiritual Requirements: Thorough understanding of the Christian faith and its doctrines and the BSF Statement of Faith. Follow Matthew 18 principles in addressing issues with fellow employees. Studying the Bible in preparation for each weekday’s group meeting. Lead staff prayer time and your table group Bible study as reasonably requested. Prepare for and attend each Day of Prayer. Responsible for shepherding the spiritual development of those employees whom they manage.

Employees must fulfill the performance standards of this position and comply with policies, guidelines, and procedures of BSF, including those set out in the Employee Handbook or otherwise communicated (verbally or in writing) to employees.

ADDITIONAL INFORMATION

  • This position is full-time located in Dallas, TX
  • All applicants, regardless of location, must be able to work during the hours of 8-5pm, CST, Monday through Friday
