Department: Administrative Team

Reports To: Partner Team

Position Overview: Sparrow House Counseling (SHC) is a large therapy private practice in Dallas, which serves individuals of all ages, marriages, and families. The practice is composed of psychologists and licensed professional counselors who treat a variety of clinical disorders and relationship issues. We are seeking a detail-oriented and proactive Administrative Assistant to support the daily operations at Sparrow House Counseling. This role involves a blend of administrative duties, client interaction, and coordination across various departments to ensure exemplary care and services.

Key Responsibilities

Email and phone management

Process new clients

Appointment scheduling and auditing

Simple billing: Process appointments and upload billing information

Maintain the office calendar

Maintain office inventory and office supply orders

Assist in the development and updating of administrative policies and procedures

Identify and recommend improvements to enhance office efficiency and client satisfaction

Other office related tasks
 

Work Environment

Schedule: Part-time position, approximately 14-20 hours a week during the hours of 8am and 5pm.

Location: On-site in Dallas, TX.

Requirement

Qualifications

Education: High school diploma or equivalent required

Experience: Minimum of 2 years in a medical administrative role, preferably in a behavioral health setting.

Technical Skills: Proficiency in Google Suites, Apple products, and experience with an EMR system preferred

Communication: Excellent verbal and written communication skills; ability to interact professionally with clients and staff.

Organizational Skills: Strong attention to detail with the ability to manage multiple tasks simultaneously.

Confidentiality: Understanding of HIPAA regulations and commitment to maintaining client confidentiality.

Preferred: Interest or background in the mental health field
