GENERAL SUMMARY

The Facilities Manager will be responsible for overseeing the maintenance, safety, and efficient operation of an approximate 60,000 square foot building located on 17 acres in Grapevine, Texas (Facility) and for managing leased satellite facilities and current tenant relationship in the Facility. This role includes managing all aspects of the Facility, including building systems, maintenance, security, custodial services, utilities, vendor management, and managing contractual leasing relationships. The Facilities Manager will ensure the Facility and any leased satellite facilities are safe, compliant with regulations, and maintained to the highest standards to provide a comfortable environment for all occupants.

ESSENTIAL TO THE POSITION

Must have received Jesus Christ as his/her personal Savior and be in full agreement with the Bible Study Fellowship Statement of Faith, Human Sexuality Policy, Core Values, and Cultural Commitments. Able to work independently with minimal supervision.  Takes initiative to complete projects and tasks and to identify new methods or processes for streamlining the work. Excellent judgment and high capacity to make decisions; mindful of details but oriented toward the big picture; superb time management; able to juggle multiple, simultaneous projects. Able to get the work done and humbly serve the employees of BSF.

PRINCIPAL DUTIES & RESPONSIBILITIES    

Building Maintenance and Operations:

  • Oversee the day-to-day operations of the Facility and any leased satellite facilities, including HVAC, electrical, plumbing, and other building systems.
  • Develop and implement preventive maintenance programs to ensure all equipment and systems function efficiently and effectively.
  • Respond promptly to maintenance requests and issues, coordinating with internal teams and external service providers.

Safety and Compliance:

  • Ensure the Facility complies with all local, state, and federal regulations, including health and safety standards.
  • Conduct regular inspections to identify potential safety hazards and implement corrective actions.
  • Develop and enforce safety protocols and emergency response procedures.

Vendor and Contractor Management:

  • Manage relationships with vendors and service providers, including janitorial, utilities, security, landscaping, and maintenance contractors.
  • Negotiate contracts, monitor performance, and ensure services are delivered within budget and to specified standards.

Budgeting and Cost Control:

  • Develop and manage the facilities budget for multiple locations including Belfast and San Antonio offices, tracking expenditures and identifying cost-saving opportunities.
  • Provide recommendations for the purchase of new equipment.
  • Approve purchase orders, monitor inventory levels, and manage procurement of supplies and equipment.

Tenant and Lease Management:

  • Tenant Relations: Foster positive relationships with current tenant in the Facility and building management of buildings BSF leases, by addressing concerns, maintaining open communication, and ensuring needs are met.
  • Lease Administration: With the legal team, coordinates lease agreements, including negotiations, renewals, and amendments, ensuring compliance with terms and conditions.

Space Planning and Utilization:

  • Oversee space planning and ensure efficient utilization of the Facility to meet organizational needs.
  • Coordinate with stakeholders to support space modifications, office moves, and reconfigurations as needed.
  • Coordinate with the Events team to provide all needed space support and maintenance for any event hosted at the Facility. 

Energy Management:

  • Negotiate and manage contracts with utility providers for BSF facilities.
  • Monitor and optimize energy usage to promote sustainability and reduce operational costs.
  • Implement energy-saving initiatives and explore opportunities for green building practices.

Team Management:

  • May lead and supervise a team of maintenance and/or custodial staff/volunteers, providing training, and guidance
  • Foster a positive work environment that encourages teamwork, accountability, and continuous improvement.

Reporting and Documentation:

  • Maintain accurate records of maintenance activities, inspections, and repairs.
  • Prepare regular reports on facilities performance, including maintenance schedules, costs, and compliance status.

SKILLS, QUALIFICATIONS, & EXPERIENCE

  • Bachelor’s degree in Facilities Management, Engineering, Business Administration, or a related field preferred.   
  • Minimum of 5 years of experience in facilities management, with at least 2 years in a supervisory role.
  • Strong knowledge of building systems, maintenance procedures, and safety regulations.
  • Proven experience in managing budgets, vendor contracts, and service level agreements.
  • Excellent problem-solving skills and the ability to respond effectively in emergency situations.
  • Strong leadership and communication skills, with the ability to work collaboratively with a diverse team.
  • Proficiency in facilities management software and tools.

SPIRITUAL REQUIREMENTS

  • Thorough understanding of the Christian faith and its doctrines and the BSF Statement of Faith
  • Follow Matthew 18 principles in addressing issues with fellow employees
  • Studying the Bible in preparation for each weekday’s group meeting
  • Lead staff prayer time and your table group Bible study as reasonably requested
  • Prepare for and attend each Day of Prayer
  • Responsible for shepherding the spiritual development of those employees whom they manage

LOCATION

  • This is not a remote position. This position will be in the Grapevine/Metroplex/Mid-cities region.
  • Applicants must be either living in this area or willing to relocate and live in the area immediately.   

WORKING CONDITIONS

  • This position requires on-site presence and occasional after-hours availability for emergencies or special projects.
  • Must be able to traverse property and facility to diagnose building issues and plan repairs or maintenance.
  • Must be physically able to perform repairs when needed.

 

ADDITIONAL INFORMATION 

  • All applicants, regardless of location, must be able to work during the hours of 8-5pm CST, Monday through Friday.  This position requires on-call availability.

  • Employees must attend employee events, which may require travel, as scheduled by BSF.
